Collections

Most software can print an invoice. The gap is banking the money.

Most overdue fees are not unpayable, they are unasked. What decides whether a term is comfortable is the distance between issuing an invoice and the rupee arriving, so these are the three numbers on the owner's board.

Parents

Parents find out without a phone call

An absence, homework, an invoice, a receipt. Each writes one notification, once, with a link to the screen that deals with it, and a retry never sends the same notice twice.

Parents sign in from a browser on any phone, no app to install. Fees and online payment, attendance, homework, results, the timetable and every notice with its read state tracked.

WhatsApp and SMS. The engine, the per-recipient outbox and its queued, sent and failed states are all built. No messaging provider is connected to the adapter yet, and we would rather say so than let a logo imply otherwise.

Security and audit

Built so the numbers survive an argument

Fee software gets audited by a trustee, a chartered accountant and eventually a parent holding a receipt. Every state change also writes an audit row: the actor, the action, the entity and the time.

Why this one

The differences are decisions, not features

Most school software lists the same modules. What separates them is what happens on the day something goes wrong: a drawer is short, a parent waves a receipt, a teacher leaves.

Who may take money

One office login sets the fee, grants the discount and takes the cash.

The fee counter is its own role. It takes payments and issues receipts, and cannot change a fee structure, approve a concession or waive a late fee.

The cash drawer

A total at the end of the day, if anyone checks it.

A shift opens with a counted float and closes against a physical count. A short or long drawer is recorded as a variance, not quietly corrected.

A discount on the fee

Someone edits the amount, and the reason lives in a WhatsApp message.

The office requests, management approves, and the invoice keeps the gross with the discount as its own line.

Asked before the second meeting

Do parents have to install an app?

No. Parents sign in from a browser on any phone. They see fees, attendance, homework, results, the timetable and notices, and can pay online.

Can the person at the fee counter change what a family owes?

No, and that is deliberate. The counter takes payments and issues receipts. Changing a fee structure, approving a concession or waiving a late fee sits with the office and management.

Our fees are in instalments, and Class 11 pays differently from Class 6.

That is the normal case. A fee structure is per class per year, split into as many instalments as your term uses, with a due date on each. Copying one class onto the rest with an uplift takes a minute.

Some children take the bus and some do not.

Transport is an optional charge, chosen per child and priced by route. A day scholar is never billed for it, and a child who joins the bus in October is billed from October.

Will you send fee reminders on WhatsApp?

Not yet. Reminders go to the parent's inbox in the app today, one per invoice per day however many times the button is pressed. The WhatsApp and SMS adapter is a defined interface with no provider connected to it.
